Health and Safety Policy for Gardeners The Hale
This Health and Safety policy sets out the principles and working arrangements that Gardeners The Hale follows to protect the health, safety, and welfare of employees, subcontractors, clients, visitors, and members of the public who may be affected by our gardening and grounds maintenance activities.
We are committed to carrying out all gardening services in a safe and responsible manner and to continually improving our health and safety performance.
Our Health and Safety Commitments
We aim to prevent accidents, injuries, and work-related ill health by maintaining high standards of safety in all gardening operations. To achieve this, we will:
Identify hazards and assess risks associated with our work, including lawn care, planting, pruning, hedge cutting, tree work, landscaping, waste removal, and the use of tools, machinery, and substances.
Implement practical control measures to reduce risks as far as reasonably possible, taking into account industry best practice for gardening and grounds maintenance.
Provide and maintain safe equipment and ensure that tools and machinery are suitable for the tasks undertaken and are regularly inspected and serviced.
Provide information, instruction, and training so that our team members are competent to carry out their work safely.
Consult with workers on health and safety matters and encourage the reporting of hazards, near misses, and incidents so that we can learn and improve.
Comply with applicable health and safety legislation and recognised standards relevant to gardening, landscaping, and grounds care.
Responsibilities for Health and Safety
Overall responsibility for health and safety within Gardeners The Hale rests with the business management. Management is responsible for ensuring that adequate arrangements, resources, and procedures are in place to implement this policy effectively.
Managers and supervisors are responsible for:
Planning work so that it can be carried out safely, allowing sufficient time and resources.
Ensuring that risk assessments and method statements are in place for gardening tasks and that safe systems of work are followed.
Checking that equipment is maintained, and that personal protective equipment is available and used correctly.
Investigating accidents, incidents, and near misses and taking remedial action to prevent recurrence.
All employees and subcontractors have a duty to:
Take reasonable care of their own health and safety and that of others who may be affected by their work.
Follow site rules, safe working procedures, and instructions given by supervisors or clients.
Use tools, machinery, and personal protective equipment correctly and report any defects or concerns immediately.
Report accidents, near misses, unsafe conditions, and health and safety concerns without delay.
Risk Assessment and Safe Working Procedures
We will carry out suitable and proportionate risk assessments for our gardening activities. These assessments will consider, for example, the use of powered equipment such as mowers, trimmers, blowers, and chainsaws; manual handling of soil, plants, and materials; working at height when pruning or hedge cutting; exposure to noise, vibration, dust, and garden chemicals; and interaction with vehicles, pedestrians, and clients on or near the work site.
Where risks are identified, we will put in place safe working procedures, including:
Using guards, safety features, and appropriate attachments on machinery.
Planning access and egress routes and keeping work areas as tidy and organised as practicable.
Segregating work areas from the public where necessary and using signs or barriers to warn of hazards.
Controlling the use, storage, and disposal of fuels, oils, and garden chemicals in accordance with manufacturer instructions.
Providing suitable manual handling techniques and, where needed, trolleys or mechanical aids.
Personal Protective Equipment
Personal protective equipment is an important part of our safety arrangements. Depending on the task and identified risks, we may require the use of items such as protective gloves, safety boots, eye protection, hearing protection, high-visibility clothing, and respiratory protection.
All team members must use the protective equipment issued for the job, keep it in good condition, and report any loss or damage so that it can be replaced.

Plant, Equipment, and Vehicle Safety
All tools, machinery, and vehicles used in delivering our gardening services must be maintained in a safe condition. Regular inspections, servicing, and, where required, testing will be carried out in line with manufacturer recommendations and relevant regulations.
Defective equipment will be taken out of use, clearly identified, and not returned to service until it has been repaired or replaced. Only trained and authorised personnel may operate powered machinery or vehicles.
Control of Substances and Environmental Considerations
Where we use fertilisers, weed control products, or other substances, we will assess the risks to health and the environment and apply appropriate control measures. These may include selecting lower-risk products, limiting quantities, using application equipment correctly, and avoiding use in unsuitable weather conditions.
We will handle and dispose of green waste and other materials responsibly, taking care to prevent pollution, fire risk, or harm to wildlife and neighbouring properties.
Welfare, First Aid, and Emergencies
Reasonable welfare arrangements will be made for workers, taking account of the nature and location of gardening work. Suitable first aid provision will be available, and employees will be informed how to obtain first aid assistance when working on different sites.
Emergency procedures will be communicated to workers, including how to respond in the event of fire, serious injury, exposure to hazardous substances, or other urgent situations. Workers must familiarise themselves with site-specific emergency arrangements where applicable.
Monitoring, Review, and Policy Availability
We will monitor our health and safety performance through site checks, feedback from workers and clients, and review of accidents and near misses. Where improvements are identified, we will update our procedures and training accordingly.
This Health and Safety policy will be reviewed periodically, and whenever there are significant changes in our operations or relevant legislation, to ensure it remains current and effective.
